Registration system for visa applications

Schengen visa applications can be submitted only via the external provider VFS Global in Jakarta and in special cases (EU citizen family members, humanitarian needs) also at the Embassy of the Czech Republic in Jakarta. Long-term visa applications and resident permit applications can be submitted only at the Embassy of the Czech Republic in Jakarta. Please note that Honorary Consulates of the Czech Republic in Indonesia do not handle visa application admissions.

 

 


 

Registration system for applying for a Schengen visa (a short-term visa for up to 90 days)

 

Short-term Schengen visa applications need to be submitted at the visa application center in Jakarta operated by the VFS Global company.

 

Below the location of the visa application center:

Kuningan City, 1st and, Jl. Prof. DR. Satrio No.Kav. 18, RT.14/RW.4, Kuningan, Karet Kuningan, Setiabudi, South Jakarta City, Jakarta 12940

 

First, an appointment date has to be arranged via the online booking system: https://visa.vfsglobal.com/idn/en/cze/

 

Please note that the Embassy of the Czech Republic in Jakarta does not manage the appointment system of the visa application center and is not entitled to intervene into the system in any way.

Out of capacity reasons and in view of the above, the Consular  Section of the Embassy does not respond to e-mail requests regarding appointment dates at the visa application center. Regarding these matters please contact directly the visa application center by e-mail (info.czechid@vfshelpline.com) or by phone: 6221 - 50957960 (08:00 – 12:00 hrs and 13:00 – 16:00 hrs on Monday to Friday).

 


 

Registration system for applying for a Schengen visa (a short-term visa for up to 90 days) for family members of EU citizens

Contact the Embassy of the Czech Republic in Jakarta via the email address jakarta@mzv.gov.cz. In the subject line of the message, state "Family member of an EU citizen". The registration request must include the following information:

  • name and surname of the applicant
  • date of birth
  • passport number
  • the purpose of applying
  • contact details (phone, e-mail)

In the e-mail attachment send supporting documents to prove the status of a family member of an EU citizen, i.e. marriage certificate, birth certificate, tenancy agreement to prove joint household, airline tickets or travel passes from joint holidays, etc.

Registration e-mails that have the functionality of not being able to send a reply from the mailbox to which they are delivered activated by the sender will be excluded from registration.

Registration system for handing a long-term visa application or a residence permit application

All applicants for a long-term visa or residence permit at the Embassy of the Czech Republic in Jakarta must register, prior to handing their application, by e-mail sent to the e-mail address jakarta@mzv.gov.cz. Requests delivered to the Embassy in a different way will be diregarded.

The registration request must include:

  • name and surname of the applicant
  • date of birth
  • passport number
  • the purpose of applying
  • contact details (phone, e-mail)

The following documents must be attached to the registration e-mail:

  • a copy of the passport´s data page with a photo and personal data (pdf format)
  • a copy of the document proving the purpose of the application (pdf format)

Without the above mentioned requirements, the registration request will be considered invalid and will not be processed by the Embassy.

If the applicant is not a citizen of Indonesia, the Sultanate of Brunei or East Timor, s/he is entitled to submit a visa application at the Embassy of the Czech Republic in Jakarta only if s/he includes in the registration e-mail, in addition to the above-mentioned requirements, a document proving a residence permit in the mentioned countries (pdf format), while this document must prove a continuous stay for more than 1 year.

Registration e-mails that have the functionality of not being able to send a reply from the mailbox to which they are delivered activated by the sender will be excluded from registration.

Upon the receipt of a valid registration request, the Embassy will send the applicant a specific appointment date for handing a long-term visa application or residence permit application. The assigned appointment date can not be changed. If the applicant cancels the assigned appointment date, the Embassy can set a new appointment date only after receiving a new registration.

 


 

Registration system for applying for an Employee Card

The Government of the Czech Republic took the decision No. 321/2022 Sb. from October 19, 2022 that set the binding quota for the Embassy of the Czech Republic in Jakarta regarding the number of Employee Card applications the Embassy can accept per one year. The quota is 70 Employee Card applications per one year.

The registration system is open for applications for an employee card at a specified time announced at the website of the Embassy in advance. During the specified three-month period, the Embassy of the Czech Republic in Jakarta will be able to accept 18, or 16, applications for employee card, which is a relative amount in relation to the above quota. 

 

Method of registration

Applicants for Employee Card can only register electronically via email Jakarta.Visa@mzv.gov.cz. Applications for registration submitted in any other way will not be considered.

When receiving registration e-mails, the rule 1 e-mail address = 1 applicant applies. Bulk registrations made for multiple applicants from one email address will not be accepted.

 

Registration requirements

Only registration emails written in Czech or English will be accepted.

 

SUBJECT OF THE REGISTRATION EMAIL:

Only the full name of the applicant (exactly according to the applicant's passport) and the applicant's passport number must be stated in the subject of the registration email.

 

TEXT OF THE REGISTRATION EMAIL:

The text of the registration email must contain the following information of the applicant:

- name and surname (exactly according to the applicant's passport)

- date of birth

- passport number

- purpose of stay

- contact details, that is telephone number and email (the contact e-mail address given in the body of the registration e-mail must be identical to the e-mail address from which the registration request is submitted)

 

REGISTRATION EMAIL ATTACHMENTS:

In the registration email, the following documents must be attached in pdf format (links to attachments located in cloud storages are not accepted, likewise, attachments sent in any format other than pdf will not be taken into account), the text of the attachments must be clearly legible:

- a copy of the data page of the applicant's passport containing photography and personal data of the applicant

- a copy of the document proving the purpose of the stay in the Czech Republic (i.e. employment contract, employment agreement or contract on a future contract). The applicant must attach a copy (scan) of the entire document proving the purpose of the stay to the e-mail registration. A copy (scan) of only the first page of this document is not sufficient for registration purposes.

 

Without the above requirements, the registration is invalid and will not be processed further by the Embassy.

 

If the applicant is not a citizen of Indonesia, the Sultanate of Brunei or East Timor, s/he is entitled to submit an application for Employee Card at the Embassy of the Czech Republic in Jakarta only if s/he includes in the registration e-mail, in addition to the above-mentioned requirements, a document proving a residence permit in the mentioned countries (in pdf format), while this document must prove a continuous stay for more than 1 year.

 

Appointment date allocation

Applicants up to the above-mentioned number who send an email registration meeting all the above-mentioned criteria will subsequently be notified by email within 7 working days about the appointment date for submitting their application for Employee Card at the Embassy.

Dates are assigned chronologically as per the incoming registration delivered to the email Jakarta.Visa@mzv.gov.cz. The Embassy does not interfere in the order of delivered e-mails in any way.

It is not possible to change the assigned appointment date and requests in this regard are not to be answered. If the applicant does not come on the assigned date, s/he must apply for a new appointment date in the standard way of registration described above.

 

Reasons for discarding registration email

The registration email will be discarded if it does not meet one of the conditions below:

- the applicant does not meet the registration requirements, see the text above;

- the applicant's full name (exactly according to the applicant's passport) and the applicant's passport number were not mentioned in the subject of the registration email;

- the subject of the registration email (also) contained information other than the applicant's full name (exactly according to the applicant's passport) and the applicant's passport number;

- the applicant did not provide all the required data in the text of the registration email;

- the applicant did not attach all the required attachments;

- the applicant saved the attachments to the cloud storage and provided only links to them in the registration email;

- the data in the text of the registration email differs from the data in the attachments;

- the applicant sent his/her application to an email address that is not intended for registration;

- a registration was for more than one applicant;

- the registration email was delivered to the email box before the start of registration, i.e. before the specified day and time;

- the applicant has sent several registration emails (each applicant is entitled to send only one registration email within the currently ongoing registration process, which contains only one application of the given applicant; applicants who send more than one registration email or in one email -mail will contain applications for multiple applicants, they will be automatically discarded);

- more than one registration was sent from one (the same) email address;

- registration e-mails that have the functionality of not being able to send a reply from the mailbox to which they are delivered activated by the sender will be excluded from the registration.
