Appointment system

All applicants for services offered by the Consular and Visa section of the Embassy of the Czech Republic in Kuala Lumpur have to make an appointment to submit their applications.

The Embassy of the Czech Republic in Kuala Lumpur uses the e-mail appointment system for lodging applications for visas, residency permits and consular services.

The Embassy strongly recommends that all applicants arrange their visa appointment well ahead of time of the intended travel (long term visas - at least 3 months; short term visas - at least 4 weeks; tourist or school groups of over 20 applicants at least 6 weeks). 

 

Please do not send your request for an appointment before you would have all necessary documents in a hard-copy original ready. Copies and printed scans are not accepted.

 

Short-term (Schengen, C type) visa applications  (for foreigners residing in Malaysia)

Each applicant must arrange the appointment by e-mail sent to the following address: kualalumpur.consulate@mzv.gov.cz  

Kindly note that each adult applicant should send one e-mail (e.g. each adult member of a group or family should send an individual e-mail). Please do not send your requests repeatedly or in several parts.

The e-mail should contain the following information about the applicant: 

  1. Name and surname
  2. Date of birth
  3. Passport/travel document number
  4. Purpose of travel (e.g. tourism, business, visit, conference, etc.)
  5. Valid personal telephone number and e-mail address
  6. Scan of the data page of the applicant’s passport/travel document, scan of the residence permit(s) in Malaysia. The foreign applicant has to be residing in Malaysia legally*. The residence permit(s) proving applicant's stay in Malaysia need(s) to be in a form of a sticker in the applicant's passport only (no ePass extension) and its remaining validity has to exceed 90 days the last date of the intended stay in the Schengen area. This is a legal requirement pursuant to the Article 6.1 of the Schengen Visa Code.
    * This requirement does not apply for citizens of Papua-New Guinea, Kiribati and Tuvalu.
  7. Scan(s) of the document(s) confirming the applicant's purpose of stay (e.g. invitation letter, proof of arranged accommodation, itinerary etc.).

Scanned documents must be attached (no links to a cloud storage, no embedded pictures) in jpg or pdf formats only (no zip files). 

If the above-mentioned information is not provided, or if the request does not meet the criteria (e.g. the format of the attachments and/or the incorrect mailbox used), the applicant will not receive any response.

If the email does not allow response (reply/forwarding blocking is enabled), the applicant will not receive any response.

If you are an eligible family member of an EU citizen, please indicate this fact clearly and forward to the Embassy a scan of the document confirming your EU family member status. 

 

Long-term visa (D type) and residency permit applications

Each applicant must arrange the appointment by e-mail sent to the following address: kualalumpur.consulate@mzv.gov.cz  

Kindly note that each adult applicant should send one e-mail (e.g. each adult member of a group or family should send an individual e-mail). Please do not send your requests repeatedly or in several parts. 

The e-mail should contain the following information about the applicant:  

  1. Name and surname
  2. Date of birth
  3. Passport/travel document number
  4. Type of visa (long-term visa or  residence permit)
  5. Valid personal telephone number and email address
  6. Scan of data page of the applicant’s passport/travel document,
    Foreigners legally residing in Malaysia also scan of the residence permit(s) in Malaysia. The applicant has to be residing in Malaysia continously for at least two years* (more than 731 days) already on a long-term visa (not on a single-entry visa or visas).  The residence permit(s) proving applicant's stay in Malaysia need(s) to be in a form of a sticker in the applicant's passport only (no ePass extension) and its remaining validity has to exceed 90 days. This is a legal requirement pursuant to the §169g of the Aliens Code No. 326/1999 Coll., as amended. There are no exemptions from this requirement. 
    * This requirement does not apply for citizens of Papua-New Guinea, Kiribati and Tuvalu. 
  7. Scan(s) of the document(s) confirming the applicant's purpose of stay (e.g. the admission letter issued by a university, in case of study visas).

Scanned documents must be attached  (no links to a cloud storage, no embedded pictures) in jpg or pdf formats only (no zip files).

If the above-mentioned information is not provided, or if the request does not meet the criteria (e.g. the format of the attachments and/or the incorrect mailbox used), the applicant will not receive any response.

If the email does not allow response (reply/forwarding blocking is enabled), the applicant will not receive any response.

The Czech Embassy in Kuala Lumpur only has the capacity to accept 4 applications per week for long term visa and residency permit applications. The appointments are organized as follows:

Tuesday from 10 a.m. - 2 applications for a long term visa / residency permit application for the purpose of study, 

Thursday from 10 a.m. - 2 applications for a long term visa / residency permit application for the purpose of study or other purposes.

 

Consular services

Each person must arrange the appointment by e-mail sent to the following address: kualalumpur.consulate@mzv.gov.cz
with following information about the applicant: 

  1. Name, surname
  2. Kind of service requested (legalization of documents, verification of signature, application for a Czech passport, etc.)
  3. Personal telephone number and e-mail address
  4. Scan(s) of the document(s) requiring legalization or superlegalization (e.g. Certificate of Good Conduct,  Birth Certificate, Power of Attorney, etc.).

If your request meets all above-mentioned criteria, the Embassy will send you the date and time of your appointment, usually within 3 working days after receiving the request. 

If the email does not allow response (reply/forwarding blocking is enabled), the applicant will not receive any response.

Please note that the allocated appointment date and time is not negotiable and the applicant will always receive the first available time slot. The Embassy reserves the right to change the appointment date and time.

The visa & consular office hours are on Tuesdays and Thursdays only (9 am - 12 o'clock).

The Embassy’s official working languages are Czech and English only, therefore applicants for long-term visas and residence permits who cannot communicate in Czech or English language should arrange an interpreter at their own expense. All correspondence regarding residency permits is conducted in the Czech language only, therefore applicants who cannot communicate in the Czech language should arrange an interpreter at their own expense.

The Embassy communicates in visa and consular matters by mail and e-mail only. Social media are not used for official communication.
