Schengen Visa requirements (documents required)

Instructions for those who are not family members of EU/EEA nationals. Please note that only applications with all of the supporting documents as follows will be accepted.

A Visa is an authorisation issued by the representative of the Government of a country permitting a person, not resident in that country, to enter its territory.  Whether you need a visa depends on your purpose of travel and your nationality, click here to check whether you are eligible or require a visa.

If you plan to apply for your Schengen visa at the Embassy of the Czech Republic, your main destination and the maximum period of stay in the Schengen area must be in the Czech Republic only. Please provide proof to support this information.

The Embassy of the Czech Republic issues visas for the Czech Republic and for the other Schengen states. The Schengen visa gives access to 26 Schengen countries in total. However, the Schengen Visa application will only be accepted by the Czech Visa Application Centre if the Czech Republic is the country of maximum stay. Should the duration of the stay be the same in several Schengen States, the Czech Republic must then be the first point of entry.

Schengen area 2013

Applicants are advised, especially over holiday periods, to apply for their visas well in advance - as per the legislation a visa application can be submitted up to 6 months prior to the date of departure and that applicants should allow 15 days for the processing of their applications.

 

Important Notice: Applicants applying from 20 November 2015 for a Schengen visa in London will need to appear in person in order to provide biometric data (fingerprints and photograph).

 

VISA REQUIREMENTS (DOCUMENTS REQUIRED):

1. Fully completed and signed application form. The form should be completed legibly and signed by the applicant or in case of children under 15, by the legal guardian. Each applicant must present a SEPARATE APPLICATION FORM and a SEPARATE SET OF DOCUMENTS even for children travelling on a parent´s passport.                                                                                                                   

Please Note: A separate application form (with a photograph and birth certificate) must be filled out for each child travelling even if they are registered on a parent´s passport. Both parents of minor must sign the form, and submit a letter of agreement together with passport copy. If one parent is unable to sign, a letter of agreement together with a copy of passport is needed.  If minor is under 6, a consent letter from the parents is required and copies of the parents passports showing signature.

2. Passport (original plus photocopy), with at least 2 blank visa pages, valid for at least 3 months beyond the return date of the trip to the Schengen Area.  In addition photocopies of Schengen visas issued in the past 3 years need to be provided as well.

Please Note: The passport must have been issued within the last 10 years and it must have a minimum of 2 blank visa pages in order to affix the visa.  Children up to the age of 15 may be included on a parent´s passport. However, once the child has reached the age of 15 a separate passport is necessary.

3. UK Residence permit (original plus photocopy) valid for at least 3 months beyond the return date of the trip to the Schengen Area.

4. One recent (not older than 3 months), passport-size, colour photo with white or grey background glued to the visa application.

Please Note: Please glue your photograph to the form, do not staple it.

5. Proof of current occupation:

  1. Employee: recent original employer´s letter (on letter headed paper, showing company’s address, phone number and UK registration number), signed with the signee’s name and position and your payslips from the last 3 months.

  2. Self-employed: last tax return correctly showing applicant’s details such as name, address, Unique Taxpayer Reference and National Insurance Number, if first tax return has yet to be filed a letter from HMRC containing the Unique Taxpayer Reference and National Insurance Number needs to be provided.

  3. Company director: Directors´ service contract, Certificate of Incorporation and Letter from Accountant need to be provided.

  4. Student: recent original school, college or university letter confirming applicant’s enrolment (type of studies and number of lessons/hours per week and attendance record), signed with the signee’s name and position

  5. Unemployed/retired:
  • If receiving benefits, a recent original letter must be obtained from the local Jobcentre or DWP

  • If not receiving benefits, a cover letter explaining the applicant’s financial situation must be provided

  • If housewife/man, the applicant may be sponsored by the spouse. In this case following documents need to be provided: spouse’s employer letter, spouse’s latest 3 months bank statements, spouse’s sponsor letter, spouse’s passport and the marriage certificate (this applies for married couples only).

6. Travel insurance covering the intended period of stay with an all-risk medical travel insurance policy for a minimum coverage of 30,000 EUR (or equivalent in GBP) for emergency medical and repatriation expenses.

Please Note: Applicants must provide their travel insurance certificate, the receipt and the Terms and Conditions pages. Quotations for insurance are not taken as proof of cover. The insurance should state that it covers all medical expenses including emergency hospital treatment and repatriation for the period of your stay in the Schengen area. The insurance must be valid throughout the territory of the Member States and cover the entire period of the person´s intended stay. The certificate should state the name of the person/s covered, the period of cover and the level of cover (minimum EUR 30.000 or equivalent in GBP). The insurance certificate must be brought with you as the policy number alone will also not be taken as proof of cover. The insurance company must be registered in either the UK or the Czech Republic.

7. Proof of financial means to cover the cost of the intended stay: Latest three months UK current account bank statements showing a positive balance – please ensure the closing balance date is not older than 1 week as of the date of submission.

Please Note: You should make sure that you have a minimum of GBP 30.00 in the account for each day of your stay in the Schengen Area i.e. GBP 150 for 5 days. Travellers´ cheques are also acceptable and must be equal to the minimum amount required for each day´s stay (GBP 30.00) in the Schengen Area. If using travellers cheques please bring the originals and the copies with you when applying for your visa. Cash will not be accepted as proof of funds.

8. Confirmed return travel reservation:

  1. When paid through a travel agency, then receipt, invoice or payment confirmation should be provided

  2. When travelling by car, please provide driver’s driving license, car registration, car insurance and confirmed travel reservation (ferry or Eurotunnel) showing the car’s registration number and passengers’ names.

Please Note: We need to see a return airplane/coach/rail ticket or a ferry/eurotunnel ticket reservation.

9. Confirmed accommodation reservation in the Czech Republic:

  1. If the applicant’s name is not mentioned on the accommodation reservation, then a joint travel confirmation letter, signed and dated by the person whose name is on the reservation, must also be provided along with a photocopy of that same person’s passport/ID card plus passport signature page, if signature is not on the personal details page.

  2. If staying with friends or relatives in the Czech Republic: The applicant must provide an original signed invitation and photocopy of both sides of the inviting person´s ID ("občanský průkaz" in Czech) or passport copy and copy of Czech residence permit if your host is not Czech. The letter needs to provide exact dates the applicant is going to be staying with the invitee and the address where they will be staying. A formal obligation can be obtained by your host at the regional office of the Czech Immigration Authority in the Czech Republic. It may replace some required supporting documents as financial funds and proof of accommodation.

10. Proof confirming purpose of your trip, e.g.:

  • tourism,visiting family or friends (confirmed hotel reservation, invitation letter with verified signature, itinerary etc.)
  • business trip (business relations confirmation, invitation/application for participation in consultations, supporting letter from the hosting company)
  • medical treatment (health/medical facility confirmation etc.)
  • conference (invitation/ticket for congress, expo, conference, seminar etc.)
  • culture/sport (confirmation about cultural/sport activities in the Czech Republic etc.)
  • study or professional training (acceptance letter from the school, registration letter etc.)
  • scientific research (hosting agreement with a research institution etc.)
  • emloyment (work permit issued by the Employment Office or employment contract, if the type of work is exempt from the work permit in accordance with Act. No. 435/2004 Coll. on employment)
  • official invitation (formal invitation authorized by the Alien Police)

11. Travel Plan: Applicants travelling to more than one Schengen Area country must provide a detailed travel plan.

Please Note: If you plan to visit other Schengen countries after the Czech Republic please present all relevant documents proving your intended travelling (paid airplane/coach/rail ticket etc.).

PLEASE NOTE: IN SOME CASES FURTHER DOCUMENTS AND GUARANTEES WILL BE REQUIRED with your application, e.g. sponsorship letter, invitation from your business partner in the Czech Republic, etc.

All ORIGINAL documents have to be presented with a PHOTOCOPY. Applicants will not be able to make copies once they are inside the building. The Embassy will not return original documents if photocopies are not supplied.

 

MULTIPLE-ENTRY VISA

Applicant requesting multiple-entry visa has to prove :

  • the need to travel frequently and/or regularly, in particular due to his occupational or family status, such as business persons, civil servants engaged in regular official contacts with Member States and EU institutions, representatives of civil society organisations travelling for the purpose of educational training, seminars and conferences, family members of citizens of the Union, family members of third-country nationals legally residing in Member States and seafarers; and
  • his/her integrity and reliability, in particular the lawful use of previous uniform visas or visas with limited territorial validity, his economic situation in the country of origin and his genuine intention to leave the territory of the Member States before the expiry of the visa applied for.

 

Remark: As from the 19th of July 2013, pursuant to Article 5 §1 of the Schengen Borders Code, note that third-country nationals, both those who require a visa and those who do not, when travelling for intended stays of no more than 90 days per period of 180 days in the Schengen area, must hold a valid travel document satisfying the following criteria:

  •  its validity shall extend at least three months after the intended date of departure from the territory of the Member States or, in the case of several visits, after the last intended date of departure from the territory of the Member States.
  •  it shall have been issued within the previous 10 years.

Please Note: In accordance with the Czech Republic´s current legal regulations which relate to administrative charges, a visa fee is charged at the time of submission of an application for a Czech/Schengen visa. The fee is non refundable even in the case of a visa not being granted or an issued visa not being used for any reason.

 

HOW TO COLLECT YOUR PASSPORT

a) Applicants who submitted their applications at the Czech Visa Application Centre - see the GENERAL INFORMATION on the website of the Centre (Remark: Full version of the Czech Visa Application Centre website operated by VFS Global Ltd will go live soon). 

b) Applicants coming directly to the Czech Embassy:

  1. The applicant can collect his/her passport in person by presenting the token received at the Embassy at the time when the application was made.
  2. The applicant can specify during the visa appointment if he /she would like someone else to collect the passport on his/her behalf. This information has to be written on the visa application. The appointed person has to bring the token the applicant received at the Embassy.
  3. The applicant can write a power of attorney for another person to come to collect the passport should he/she or previously nominated person not be able to collect the passport as pre-planned. The signature of the applicant on the power of attorney has to be verified. The appointed person has to bring the token the applicant received at the Embassy.
  4. If the applicant wishes to have the passport returned by post he/she must supply a pre-paid self- addressed special delivery envelope (available from the post office). The Czech Embassy is not responsible should the passport be lost by Royal mail on route.

 

WHERE TO APPLY FOR A SCHENGEN VISA:

All applications must be made IN PERSON, postal applications will not be accepted.

If you intend to visit only one Schengen Area country you must apply to the Embassy, Consulate or Visa Application Centre of that particular country.
If you intend to visit several Schengen Area countries you must apply to the Embassy, Consulate or Visa Application Centre of the country which is your main destination i.e. the country where you will spend the longest period of time.
If you intend to visit several Schengen Area countries but do not have a main destination you should apply to the Embassy, Consulate or Visa Application Centre of the country which is your fist point of entry.

WHEN TO APPLY FOR A SCHENGEN VISA:

Applicants can apply up to 6 months but no later than 15 days before planned travel.
Please note: Appointments should be booked well in advance of travel as there is usually a waiting time for an appointment.
It takes 10 -15 days (maximum 45 days) to obtain a visa after an application has been made.

Please Note: Third countries whose nationals are subject to prior consultation according to the Visa Code.

It is essential to book an appointment well in advance of travel. Please book on before you bring your application form. to the Embassy. You will not be admitted to the visa section without an appointment.

 

PLEASE NOTE THE FOLLOWING IMPORTANT INFORMATION:

No visa can be obtained at the airport or at the border.

The Embassy cannot guarantee the issuance of a visa. There is no legal entitlement to a visa.

The Embassy is not responsible for information given by travel agencies or guidebooks.

Holders of Schengen visas are still subject to immigration controls and are not guaranteed entry into any of the Schengen Area countries.

For minors: birth certificate with official translation in English (i.e. done by official translator) showing both parent´s names and both parent´s passport must be provided. Parents must be blood related or have official adoption papers.


Minors travelling alone or with only one parent: proof of consent of parental authority or legal guardian has to be provided.
