Schengen Visa Requirements for Kenyan passport holders

Applicants can apply up to 3 months but no later than 15 days before the planned travel. As per the Schengen Visa Code the decision about the visa application is taken within 15 calendar days (in specific cases up to 45 days).

Harmonized Schengen Visa Application Requirements:

  1. An application form completed duly and legibly and signed by the applicant (in the case of applicants under 15, the application form should be signed by the parent/legal guardian; in the case of applicants aged 15-18, a written consent of their parent/legal guardian should be presented. In all such cases the parent/legal guardian's passport copy should be provided); 
  2. Original passport (*) plus a copy of all relevant pages (ID page, previous Schengen visas, etc.) - the passport must be valid for at least 3 months after the intended departure from the Schengen Area. Furthermore, the document must have been issued within the previous 10 years and should contain at least 2 blank pages. For the table of recognized passports consult the website of the European Commission;
  3. One recent (not older than 6 months) passport-size photograph (*) (compliant with ICAO standards, light background and neutral expression necessary, no head covering permissible except for religious reasons);
  4. Individual travel medical insurance (not required for diplomatic passports holders and EU citizens' family members) - valid for the Schengen Area and covering the entire period of the intended stay plus 15 days. The minimum coverage should amount to 30.000 EUR and include all costs that could arise as a result of emergency medical assistance, emergency hospital stay or repatriation. The applicant should have this insurance provided by one of the following companies. List of Approved Insurance Companies (From 1st February 2020) (PDF, 90 KB);
  5. Air ticket reservation, including the return flight (the original ticket may be required at the time of collection of the visa) or proof of other means of transport to be used (if travelling by private car: copy of an international drivers' license and car license);
  6. Confirmed hotel reservation(s) or other proof of accommodation for the whole duration of stay in the Schengen Area (if not covered by any other document - see below);
  7. Photocopy of the national ID card (both sides) or residency permit (the permit validity must exceed the validity of the visa applied for by at least three months);
  8. Visa application fee (*)(where applicable);
  9. Proof of sufficient financial means for the duration of the intended visit in the Schengen Area: 
  • ​​Valid credit card issued in the applicant's name - account statements for the past 3 months containing the credit card limit, stamped by the bank;
  • Travellers checks issued in the name of the applicant, duly signed and presented in original form and a copy;
  • Original applicant's bank account statement for the past 3 months (online print-out statements should be stamped by the bank);
  • Salary slips for the past 3 months, if the applicant does not receive his/her salary in a bank account;
  • Official invitation form (for private travellers) from the host person, certified by the Foreigners' Police, in which the host undertakes to cover all expenses related to applicant's stay in the Schengen area;
  • In case of travellers depending on direct relatives/other persons directly linked to them for covering their trip expenses: the Embassy may accept a guarantee letter, which should be completed according to the national legislation of every Schengen Member State, from the person covering the expenses of the trip. In addition, proof of financial means from the inviting person should also be provided (see details above);
  • Complementarily, other means of financial independence, such as proof of real estate property;
  • The Embassy may ask for several of the above-mentioned documents to verify sufficient financial means. 

(*) If your application does not contain any of the above documents marked (*) it is considered inadmissible and your documents, including the application fee will be returned to you without further notice. (Schengen Visa Code art. 19:3)

 

         10. Original document(s) proving the purpose of travel:

 

Private visit (visit to friends or family)

·       Official invitation form from the host person, certified by the Foreigners' Police.

·       Proof of family ties – if applicable.

·       For employed persons: a signed letter from the current employer containing the following information:

  • Applicant's personal data, position/profession
  • Terms of employment (temporary/permanent)
  • Date of employment
  • Salary for past 6 months
  • Authorized period of leave
  • Date and contact details of the employer

·      For private entrepreneurs: a copy of Kenya PIN Certificate; the most recent tax statement.

·       For pensioners: a pension certificate or other financial support.

·       For students: confirmation from the university or educational establishment.

 

 

Tourism

·       In the case of organised tourism (via travel agencies): confirmation of booking of the organized trip from the host company (i.e. voucher). If the confirmation of booking does not include proof of prepayment, proof of down-payment is required.

·       In the case of individual tourism: confirmation of accommodation booked, as well as down-/prepayment, if applicable.

·       A detailed travel plan.

      For employed persons: signed letter from current employer containing following information:

  • Applicant's personal data, position/profession
  • Terms of employment (temporary/permanent)
  • Date of employment
  • Salary in past 6 months
  • Authorized period of leave
  • Date and contact details of the employer

·      For private entrepreneurs: a copy of Kenya PIN Certificate; the most recent tax statement.

·       For pensioners: a pension certificate or other financial support.

·       For students: confirmation from the university or educational establishment.

 

 

Business, conference, official visits

·       Signed letter of invitation from the host company containing the following information:

  • Applicant's personal data
  • Reason for the visit to the Czech Republic (Schengen Area)
  • Intended length of stay
  • Information of the person responsible for supporting the applicant's stay financially during his/her stay in the Czech Republic (Schengen Area)
  • Date and contact details of the host company 

·       The Embassy may also ask for corporate agreements, the Kenyan firm statutes, or the record of transactions between the Kenyan and European companies concerned.

·       In the case of attending fairs/conferences: proof of registration, confirmation of pre-/down- payment

·       For employed persons: a signed letter from the current employer containing the following information:

  • Applicant's personal data, position/profession
  • Terms of employment (temporary/permanent)
  • Date of employment
  • Purpose of the journey
  • Information of the person responsible for supporting the applicant's stay financially during his/her stay in the Czech Republic (Schengen Area)
  • Date and contact details of the employer 

·      For private entrepreneurs: a copy of the Kenya PIN Certificate; the most recent tax statement.

·       For pensioners: a pension certificate or other financial support.

·       For students: confirmation from the university or educational establishment.

 

 

International sports events

·       Signed letter of invitation from the host organisation containing the following information:

  • Applicant's personal data
  • Name and date(s) of the event in the Czech Republic (Schengen Area)
  • Information if the event organizers will cover any expenses of participants
  • Date and contact details of the host organisation 

·       Confirmation from the local sports organisation/federation containing the following information:

  • Applicant's personal data
  • Applicant's position in the organization/federation
  • Purpose of the journey
  • Name and position of the responsible person or organization for the applicant's financial support during his/her stay in the Czech Republic (Schengen Area)

·       For employed persons: a signed letter from the current employer containing the following information:

  • Applicant's personal data, position/profession
  • Terms of employment (temporary/permanent)
  • Date of employment
  • Purpose of the journey
  • Information of the person responsible for supporting the applicant's stay financially during his/her stay in the Czech Republic (Schengen Area)
  • Date and contact details of the employer

·      For private entrepreneurs: a copy of the Kenya PIN Certificate; the most recent tax statement.

·       For pensioners: a pension certificate or other financial support.

·       For students: confirmation from the university or educational establishment.

 

Medical treatment

·       A letter from the medical facility or doctor in the Czech Republic indicating the following:

  • Contact with the applicant's local doctor
  • Nature of the treatment
  • Estimated time of recovery
  • Need for return visits
  • Confirmation that the patient has been accepted and that the treatment can be performed
  • Cost of treatment and information that the medical facility or doctor agrees with the intended form of payment
  • Information regarding pre-/down- payment

·       A letter drafted and signed within the last 3 months by the applicant's current doctor in Kenya providing background information about the current medical treatment and confirming the need for the specific medical treatment to be provided abroad

·      For employed persons: signed letter from current employer containing following information:

  • Applicant's personal data, position/profession
  • Terms of employment (temporary/permanent)
  • Date of employment
  • Purpose of the journey
  • Information of the person responsible for supporting the applicant's stay financially during his/her stay in the Czech Republic (Schengen Area)
  • Date and contact details of the employer

·      For private entrepreneurs: a copy of the Kenya PIN Certificate; the most recent tax statement.

·       For pensioners: a pension certificate or other financial support.

·       For students: confirmation from the university or educational establishment.

Persons accompanying the applicant should apply for a "Private Visit" Schengen visa.

 

Study and research (up to 90 days of stay only)

·    A letter of acceptance from the Czech Republic (Schengen zone) educational/research institution containing the following information:

  • Applicant's personal data
  • Course/research description
  • Course/research duration
  • Information of the person responsible for supporting the applicant's stay financially during his/her stay in the Czech Republic (Schengen Area)
  • Date and contact details of the educational/research institution 

·     Confirmation from the educational institution in Kenya containing the following information:

  • Applicant's personal data
  • Details of the institution (name, contact details)
  • Applicant's course enrolment
  • Number of years of applicant's study/research in the institution
  • Purpose of the journey
  • Name and position of the person or organization responsible for the applicant's financial support during his/her stay in the Czech Republic (Schengen Area)

·       For employed persons: a signed letter from the current employer containing the following information:

  • Applicant's personal data, position/profession
  • Terms of employment (temporary/permanent)
  • Date of employment
  • Purpose of the journey
  • Information of the person responsible for supporting the applicant's stay financially during his/her stay in the Czech Republic (Schengen Area)
  • Date and contact details of the employer

·      For private entrepreneurs: a copy of the Kenya PIN Certificate; the most recent tax statement.

·       For pensioners: a pension certificate or other financial support.

·       For students: confirmation from the university or educational establishment.

 

 

Additional requirements for minors (under 18 years) travelling without both parents or a guardian

  • Copy of the Birth Certificate (the original might be requested)
  • Copies of both parents (guardians) ID-cards and passports, if applicable (missing or deceased parent's information must be provided in a form of an official document, e.g. a Death Certificate)
  • Certified written consent letter from both parents (guardians) if the child will be travelling alone; or from the parent not accompanying the child
  • In case of a legal guardian, an original custody order proving the legal guardianship
  • Letter from school containing the following information:
    • Applicant's name
    • Name of parent(s) / guardians
    • Grade
    • Number of years at school
    • Confirmation of school holidays or permission for the child to be absent from school
    • Date and contact details of the school representative
  • In case of a group travel, a complete list of group members and details of the person(s) in charge of the group

 

The visa applicant should pay a non-refundable visa application fee of 80 EUR in cash. Children under 6 years of age are exempt from the fee, the fee for children aged 6 to 12 is 40 EUR.

 

Fingerprints will be collected at the visa appointment from all applicants excepting:

Children under 12 years;

Applicants for whom fingerprint collection is physically impossible; 

Heads of states and governments and their delegations if invited on an official visit, and members of royal families if invited on an official visit.

 

Please note that:

  • All applications must be submitted at the Embassy in person (by prior appointment only) in order to collect the biometric fingerprint data from the applicants.
  • The submission of the documents listed above does not automatically guarentee the issuance of a visa. Individual assessments are made in each case.
  • Each applicant must present a separate application form and a separate set of documents.
  • The Visa Department has full authority to evaluate and request more documents than those submitted by the applicant. Therefore always include your mobile, home or office telephone number together with your application.
