Requirements for Schengen visa

List of supporting documents to be presented by applicants for short stay visas.

ONLY APPLICATIONS WITH THE COMPLETE FILE OF FOLLOWING SUPPORTING DOCUMENTS WILL BE ACCEPTED. Please note that every person must submit all required forms individually. For example: A group cannot share one invitation letter, each individual must have one. Instructions for those who are not family members of EU/EEA nationals. Please note that only applications with all of the supporting documents as follows will be accepted. For instructions for EU family members please see bottom of this page.
Applicants can apply up to 6 months but no later than 15 days before the planned travel. As per the Schengen Visa Code the visa application is decided within 15 calendar days (in specific cases up to 60 days).
 

General requirements for all applicants

  • An original application form for Schengen visa (A4) (www.mzv.cz/visaform) filled in completely and legibly and signed by the applicant (or the legal guardian for children).
  • A proof of payment of the visa fee.
  • A passport valid for 90 days after the applicant’s last day of stay in Schengen territory, with two blank visa pages for the visa sticker. Please note that the Czech Republic DOES NOT accept South African Temporary passports.
  • Non-South African nationals: South African residence permit or temporary residence permit valid at least three months beyond the planned stay in the territory of the Czech Republic.
  • A copy of the passport (only the data page with the photograph and the signature).
  • A recent passport sized photograph (3,5 x 4,5 cm) in colour to be glued, do not staple.
  • A proof of financial funds for the stay at the territory of Schengen states, e.g. recent bank account statements showing movements over the last 3 months (ORIGINALS AND STAMPED BY A BANK).
  • A round trip air-ticket and itinerary with dates and flight numbers specifying an entry to and an exit from the territory of Schengen states. If more than one entry is required, a reason must be provided.
  • Proof of a valid travel health insurance for the entire duration of the stay in the Schengen territory – a letter from the insurance company covering medical expenses, including emergency hospital treatment and repatriation (transportation) to the home country/country of residence, stating the name of the person, the policy number, the period of cover and the medical coverage equivalent of 30.000 EUR. List of insurance companies which meet the criteria of Art. 15 of the Visa Code “Travel Medical Insurance” is attached below.
  • Proof of accommodation in all Schengen countries visited during the trip. If accommodation costs are covered by another entity, this must be clearly stated in the invitation letter.
  • Visa of the final / main (with the longest stay) country of destination must be obtained (if needed) before applying for a Schengen visa.
  • if the applicant does not intend to return to South Africa but go either to his country of origin or another third county, a reasonable proof of their intention is needed e.g. work contract in the new destination, or proof of enrolment in university/school or a rental agreement.
  • Spouses of EU/EEA citizens and their children under the age of 21: UNABRIDGED Marriage or UNABRIDGED  Birth certificates must be submitted with the application as a proof of the relationship with a EU/EEA spouse/parent.


Invitation

  • Informal invitation - if applicant is staying with a relative or friend, an invitation letter mentioning this must be submitted. The invitation letter must clearly identify the host and the invitee (name, address, birthdate, official identification number, occupation and permanent residence); the purpose of the visit; length of stay and accommodation status (where will the invitee stay and who pays for it), the copy of ID of the inviting person.    OR
     
  • Official Invitation from the person to be visited, if applicable, certified by the Alien Police inspectorate in the Czech Republic (it is required when a physical or a legal person invites the applicant to the Czech Republic and provides accommodation, financial support or other from the requirements list).


Minors (children under the age of 18)

  • the minor’s birth certificate
  • certified copies of ID/passport of both parents;
  • if the minor travels alone: certified parental consent by both parents;
  • if the minor travels with only one parent, the other parent must produce the certified consent. If only one parent has guardianship of the minor, the relevant court documents must be presented.


Document to be submitted when travelling for the purpose of tourism, business or study

  • in case of a pre-paid tour, details of the tour with a proof of payment to the tour operator should be provided;
  • proof of employment: a letter from company stating monthly wages, continuing employment after period of leave and duration of vacation etc.;
  • if self-employed: a certification from SA Companies and Intellectual Property Commission or SA Revenue Service is required;
  • if student: Letter from school/college/university in South Africa certifying the student status of the applicant.


Documents to be submitted when attending specific events, such as conferences, workshops, short term studies and research, official meetings, cultural and sports events, exhibitions, fairs, training, etc.

  • for persons attending sports events, exhibitions and fairs: presentation of a document proving the participation of the applicant in the event.;
  • for other events: an invitation from the host or a company in the Member State of destination is needed. The invitation should include clear identification of both the entity issuing it and the invited applicant; nature, duration and venue of the event; applicant´s role in the event and the link between the host and the invited applicant;
  • for participation in conferences: a proof of registration and payment;
  • official visits: a note verbale from the Department of International Relations and Cooperation or any other relevant South African Ministerial Department is required.
  • If expenses are covered by the host and/or by the employer this needs to be clearly established in the invitation letter or note verbale, as appropriate.

In connection with the Amendment to the Visa Code, effective from 2 February 2020, we announce that from 2 February 2020 the Embassy of the Czech Republic in Pretoria will not accept standard Schengen Visa applications at the visa section. Visa applications will only be accepted if submitted through the VFS Visa Centers in Pretoria, Johannesburg, Durban, Cape Town and Gaborone.

The possibility of accepting Visa applications at the Embassy for EU family members, holders of Diplomatic and Service passports, Official Delegations, family members of Embassy staff of the host country or for urgent humanitarian reasons will be retained.
